The Forgotten Women of Wakefield Group and Dream Time Creative (“we”, “our”, “us”) are committed to protecting and respecting your privacy. This privacy notice explains how we collect, use, and protect your personal data when you visit our website, sign up for our newsletter, or book a ticket for one of our events.

Dream Time Creative is registered with the ICO, and Sarah Cobham is the nominated Data Controller and Data Protection Officer. She can be contacted via sarah@forgottenwomenwake.com or via our Social Media channels.

1. The Personal Data We Collect

We collect and process personal data when you interact with our website or services:

  • Contact Information: Your name and email address when you sign up for our newsletter.
  • Contact Form Data: Your name, email address, and any message you type when you use our website contact form.
  • Booking Information: Your name, email, and ticket details when you register for our history walks or fundraising events.
  • Technical Data: IP addresses and cookies when you browse our website.

2. Third-Party Services We Use (Sharing Your Data)

We rely on trusted third-party providers to manage our group. These platforms act as “Data Processors.” Your data is handled according to their respective privacy policies:

  • Eventbrite: We use Eventbrite to manage ticket bookings for our history walks and events. When you buy a ticket, Eventbrite collects your details and shares the attendee list with us so we can manage entry.
  • Mailchimp: We use Mailchimp to send our newsletter. When you subscribe, your name and email address are stored securely on Mailchimp’s servers.
  • GoFundMe: We do not hold a group bank account. All fundraising donations are processed directly through GoFundMe. We do not see or collect your credit card details or bank information.

3. Lawful Basis (How and Why We Use Your Data)

You are not obliged to provide us with personal information, but if you do not, we will not be able to communicate with you or provide any purchases, such as event tickets.

We only use your information for specific reasons, relying on the following lawful bases under UK GDPR.

  • Consent: You explicitly agree to receive our newsletter via Mailchimp. You can unsubscribe at any time using the link in any email.
  • Contractual Necessity: We use your booking details from Eventbrite to manage attendance, ensure safety on our history walks and at other events, and contact you if an event is cancelled or changed.
  • Legitimate Interest (GDPR Article 6(1)(f)): If you contact us through our website or social media, it is in our legitimate interest to use your contact details to reply, so that we can provide efficient customer service, manage client relations and handle incoming queries about our activities.

4. Data Retention (How long we keep it)

  • Newsletter: We keep your email address on Mailchimp for as long as you wish to receive updates.
  • Event Tickets: We delete attendee lists downloaded from Eventbrite within 7 days of the event.
  • Donations: Financial records are held permanently by GoFundMe. We do not download or store donor records locally.

5. Your Rights

  • To know what data we collect, how we use it and how long we keep it,
  • To look at the data we hold about you,
  • To ask us to correct mistakes,
  • To ask that we delete your information,
  • To ask us to limit some of the ways we use your data,

  • To object to us using your data is some ways, e.g. for direct marketing,
  • Not to be subject to decisions based solely on automated processing.

  • Final Outcome: We will write to you to explain the final outcome of our investigation, including any corrective actions taken, without undue delay.
